1. Purpose of the Refund and Cancellation Policy
This Refund and Cancellation Policy outlines the conditions under which learners enrolled in courses offered by Green World Group (GWG) may request cancellation of enrollment and the circumstances under which refunds may be granted. The policy is designed to ensure transparency, fairness, and consistency in handling refund requests while safeguarding the resources and operational commitments made by GWG for course delivery.
Green World Group invests substantial resources in delivering professional training programs, including course development, trainer allocation, administrative processing, LMS access, certification coordination, and examination registration. Therefore, refund eligibility is governed by clear conditions to ensure that learners and the organization both operate under mutually agreed terms.
This policy forms an integral part of the GWG Terms and Conditions (Doc No: GWG_MP_022) and must be read in conjunction with the Pricing Policy. By enrolling in any course offered by GWG, the learner acknowledges and agrees to abide by the refund and cancellation terms outlined in this policy.
2. Course Cancellation by Learners
Learners may request cancellation of their enrollment in a course under specific circumstances as defined by this policy. Cancellation requests must be formally submitted to GWG through official communication channels such as email or written request.
A course cancellation request will be considered valid only if it is submitted before certain critical stages of the course delivery process, including:
2.1 Official registration with the accreditation body
2.2 Commencement of the training sessions
2.3 Issuance of course materials or LMS access
If cancellation is requested before any of the above stages occur, the learner may be eligible for a refund according to the applicable refund terms in Doc No: GWG_MP_022.
However, once the learner has accessed the learning materials, attended sessions, or received official registration with the accreditation body, the eligibility for refund will be reduced or completely restricted depending on the circumstances.
3. Refund Eligibility
A learner may be eligible for a refund of the course fee under the following conditions:
The cancellation request is submitted before official registration with the accreditation body.
The learner has not received or accessed any course materials.
The learner has not logged into the Learning Management System (LMS).
The learner has not attended any training sessions or joined any batch.
Additionally, learners may request cancellation within 24 hours of registration, provided that they have not accessed course materials, downloaded learning resources, watched e-learning videos, or attended any training sessions.
Where these conditions are satisfied, GWG may process a full refund of the course fee, subject to applicable administrative processing procedures and regulatory approvals where required.
In certain cases, a learner may be eligible for a partial refund of the course fee.
Partial refunds may be considered if:
3.1.1 The cancellation request is submitted within 10 days from the date of registration, and
3.1.2 The learner has not completed more than a limited portion of the training program.
In such circumstances, GWG may process a refund after deducting applicable administrative charges and service costs incurred during the enrollment process.
Typical deductions may include:
- Learning Management System (LMS) access charges
- Course material preparation or distribution costs
- Administrative processing fees
- Identification card issuance costs
- Taxes paid to government authorities
- Bank or payment gateway processing fees
- Currency exchange charges where applicable
- Accreditation body registration charges
- Trainer or session-related costs if sessions have already been attended
The final refund amount will be determined after considering all applicable deductions and operational costs incurred by GWG.
4. Non-Refundable Circumstances
Refunds will not be granted under the following circumstances:
4.1 If the cancellation request is submitted more than 10 days after the registration date
4.2 If the learner has already attended training sessions or participated in course activities
4.3 If the learner has accessed the LMS, downloaded course materials, or utilized training resources
4.4 If the learner fails to complete mandatory attendance or formative assessments required for the course
4.5 If the learner discontinues the course after it has commenced
In such cases, the fees paid will be considered as payment for services already rendered and resources already allocated.
5. Transfer of Course Enrolment
In certain situations, GWG may allow learners to transfer their enrollment from one course to another or to a different training date.
Course transfers are subject to the following conditions:
5.1 Availability of seats in the requested course or batch
5.2 Approval from the GWG management
5.3 Payment of any applicable difference in course fees
5.4 Payment of any additional administrative or registration charges
Requests for course transfers will be evaluated on a case-by-case basis.
6.Refund Processing and Payment Method
All approved refunds will be processed through the same payment channel used during the original transaction whenever possible.
Refunds will only be made to the registered learner, and under no circumstances will refunds be transferred to any third party.
If payments were made through external financing or payment channels such as instalment plans or bank EMI options, refunds will be processed according to the policies of the respective financial institutions.
The processing time for refunds may vary depending on banking procedures, payment gateway processing times, and regulatory approvals where applicable.
7. Course Cancellation by Green World Group
In rare circumstances, Green World Group may need to cancel or reschedule a course due to unavoidable operational or external factors such as:
7.1 Trainer unavailability
7.2 Insufficient participant numbers
7.3 Regulatory or accreditation changes
7.4 Force majeure or unforeseen circumstances
In such cases, GWG will make reasonable efforts to notify learners in advance and provide alternative arrangements such as rescheduling the course or transferring the learner to another available batch.
Where a course is rescheduled, learners will normally be accommodated in the new schedule. Refund eligibility in such situations will be subject to GWG management review.
8. Academic Malpractice and Refund Restrictions
Green World Group maintains strict policies against academic malpractice, including plagiarism, cheating, collusion, falsification of information, or any other form of academic misconduct.
Where malpractice is identified by GWG or by an accreditation body, the learner may face disciplinary actions that may include disqualification from the course, examination restrictions, or permanent bans imposed by the accreditation body.
In such cases, no refunds will be issued under any circumstances, as the services, training resources, and administrative efforts would have already been provided
